Quickbooks Item Inventory Report List Shows "On Purchase Order" counts refering back to Purchase Orders that appear to have been closed with an "Items Received"
Sometimes the counts shown don't match the amount on the purchase order. For example a purchase order for 6 items, all received, shows on the Item Quick Report as being outstanding for 10 items. Consequently the final inventory, which should be 1, shows a 11 because of this phantom 10 items. The purchase order had been received, and all items were received.
So the Inventory Item QuickReport?Create shows:
- Total On Hand: 1
- On Purchase Order As of 4/30/2004: 10
- Purchase order #999 item name - 0 items
- Total on purchase order: 10
- Total Inventory: 11
All other invoices and bills for this item seem to have went to their proper places in the first section of the order, contributing to Total On Hand.
Need to find a way to get rid of this bogus 10 item, and this seeming "On Purchase order" amount.
Solution
Notice that Purchase Order #999 is actually contributing 0 items. The 10 on the "Purchase Order As of 4/30/2004" line means the 10 items on a purchase order are from some purchase order before 4/30/2004. To find the purpose order, change the filter range of dates to go father back in history.
Looking For The Solution
Some queries tried to find a solution to this problem:
- "inventory item quickreport shows on purchase order items that have been received" - Search at quickbooks knowledgebase.
- Item list's "On Hand" quantity for inventory item differs from QuickReport?Create.
- Question: Why doesn't the On Hand quantity for an inventory item in the Item list match the On Hand quantity in the item's QuickReport?Create?
- Possible Cause: The purchase order (PO) that was created to enter the item is dated in a later month than the bill or credit card charge that was used to receive the item.
- Rebuilding the quickbooks data file is suggested as a solution. http://www.quickbooks.com/support/faqs/qb2005/203057.html covers how to rebuild the data file.
- Verifying the data file came up with "Your data contains duplicate list elements. Please view qbwin.loog located in your program directory for a list of the duplicate elements." However, qbwin.log didn't seem to exist. There was a qbwin.txt, but it didn't seem to have information about this problem, it seems to have been created early than when the verify command.
- Even after a rebuild, we still got "Your data contains duplicate list elements. Please view qbwin.loog located in your program directory for a list of the duplicate elements." Again, the qbwin.log had not been updated by the rebuild command, but instead is the one that was written 35 minutes earlier.
This does not solve our problems. Other searches they suggested:
- Not Tried: "Working with Inventory" and "Inventory" and "shows" (35)
- Not Tried: "Working with Purchase Orders" and "shows" (23)
- "Working with Purchase Orders" and "Working with Inventory" and "shows" (3)
- "Working with inventory"
- Tried: Nothing useful, basically same answers as previous
- "On Purchase Order" "Inventory Item QuickReport?Create"
- Tried: Same result as above, which is just a closest match.
